AGREEMENT TO TERMS
By accessing our website, scheduling an appointment, using our client tax portal, submitting documents, or receiving any service from Legacy Financial Haven you agree to be bound by these Terms and Conditions in their entirety. If you do not agree to these terms please do not use our services. These Terms and Conditions constitute a legally binding agreement between you and Legacy Financial Haven.

SECTION 1 — WHO WE ARE
Legacy Financial Haven is a professional tax preparation and ITIN services company located in Ridgeland, Mississippi. We provide individual and business tax preparation, Individual Taxpayer Identification Number application and renewal services, tax strategy consulting, and tax amendment services throughout Mississippi and the surrounding region.
Legacy Financial Haven is a professional tax preparation service. We are not a licensed Certified Public Accountant firm, law firm, or investment advisory firm. Nothing in these Terms and Conditions or in any communication from Legacy Financial Haven constitutes legal advice, investment advice, or certified accounting services. For matters requiring a licensed CPA, attorney, or financial advisor we recommend consulting with the appropriate licensed professional.
SECTION 2 — SERVICES OFFERED
Legacy Financial Haven offers the following professional services:
2.1 Tax Preparation Services Individual and business tax return preparation including but not limited to federal and state income tax returns, Schedule C for self-employed individuals, Schedule E for rental property income, prior year tax return preparation, and tax return amendments. Tax preparation services are available in person at our office, virtually by phone or video conference, and through our File On The Go remote document submission service.
2.2 ITIN Services Individual Taxpayer Identification Number services including ITIN consultations, new ITIN applications, and ITIN renewals for individuals who are not eligible for a Social Security Number and have a federal tax filing requirement. Legacy Financial Haven coordinates ITIN applications directly with the Internal Revenue Service in accordance with applicable IRS requirements.
2.3 Tax Strategy Sessions One-on-one personalized tax strategy consultations designed to help individuals and business owners understand their tax situation, identify legal tax reduction opportunities, and plan proactively for future tax years.
2.4 Tax Amendment Services Preparation and submission of amended federal and state tax returns for clients who need to correct errors or omissions on previously filed returns.
2.5 Client Tax Portal A secure online portal providing clients with access to their tax documents, return status, ITIN application status, invoice payment, and secure messaging with Legacy Financial Haven staff.
SECTION 3 — ENGAGEMENT AND APPOINTMENT TERMS
3.1 Client Engagement Legacy Financial Haven establishes a professional service relationship with each client at the time of their first paid service. This relationship is governed by these Terms and Conditions and any engagement letter or service agreement provided to the client at the time of service.
3.2 Appointment Booking Tax preparation and ITIN services require a scheduled appointment. Appointments may be booked through our website at legacyfinancialhaven.com, through our client tax portal, or by contacting us directly. Appointment requests are subject to availability and are not confirmed until you receive written confirmation from Legacy Financial Haven.
3.3 Cancellation Policy Cancellations must be made at least 24 hours before your scheduled appointment. Cancellations made with less than 24 hours notice or failure to appear for a scheduled appointment without prior notice may result in a cancellation fee of up to $35.00 applied to your account. 3.4 Document Submission Deadline To ensure timely filing of your tax return all required documents must be submitted through your client portal or delivered to our office no later than 7 days before your scheduled appointment or by the date specified by your Legacy Financial Haven tax preparer. Late document submission may result in a rescheduled appointment or delayed filing. Legacy Financial Haven is not responsible for late filing penalties resulting from a client's failure to submit required documents on time.
3.5 Client Responsibility for Accuracy You are solely responsible for the accuracy, completeness, and truthfulness of all information and documents you provide to Legacy Financial Haven. Legacy Financial Haven prepares your tax return based on the information you provide. We are not responsible for errors, omissions, penalties, interest, or other consequences resulting from inaccurate, incomplete, or false information provided by you.
3.6 IRS Audit and Correspondence In the event your tax return is selected for audit or you receive correspondence from the IRS or state tax authority Legacy Financial Haven will cooperate with you to the extent possible. Audit representation and response to IRS correspondence beyond our standard service scope may be subject to additional fees. Please notify us immediately upon receiving any IRS or state tax authority correspondence related to a return we prepared.
SECTION 4 — PAYMENT TERMS
4.1 Payment Due Payment for tax preparation services is due in full before your completed return is filed with the IRS or state tax authority. Legacy Financial Haven will not file your return until full payment has been received and cleared. For ITIN services payment is due before the application is submitted to the IRS.
4.2 Pricing Legacy Financial Haven service pricing is as follows:

Tax Preparation — Virtual: Starting at $135.00
Tax Preparation — File On The Go: Starting at $125.00
Tax Strategy Session: $175.00 Tax Amendment: $200.00
ITIN Consultation: $75.00
New ITIN Application: $250.00
ITIN Renewal: $200.00
Additional fees may apply based on return complexity including:
- State return: $50.00 per state
- Additional W-2 forms over 3: $25.00 each
- Schedule C — Self-Employment: $75.00
- Schedule E — Rental Property: $75.00
- Prior Year Return: $175.00 per year
- Rush Processing — within 48 hours: $50.00
All pricing is subject to change. Current pricing is always available at legacyfinancialhaven.com or by contacting us directly. Price changes will not affect services already paid and in progress.
4.3 Accepted Payment Methods Legacy Financial Haven accepts credit cards, debit cards, and eCheck payments processed through CPAcharge. Additional payment methods may be available at our discretion.
4.4 Returned Payments A returned payment fee of $35.00 will be applied to your account for any payment returned by the bank or payment processor for any reason including insufficient funds, closed account, or stop payment. After one returned payment all future payments must be made by certified funds or electronic payment only.
4.5 Refund Policy Once Legacy Financial Haven has begun preparing your tax return a refund will not be issued for the preparation fee. If you choose not to file the prepared return after it has been completed you are still responsible for the full preparation fee. Refund requests for services not yet begun must be submitted in writing to jWilliamson@legacyfinancialhaven.com within 7 days of the original booking date.
SECTION 5 — TAX PREPARATION TERMS
5.1 Client Representations By engaging Legacy Financial Haven for tax preparation services you represent and warrant that all information and documents you provide are true, accurate, and complete to the best of your knowledge. You acknowledge that you are responsible for reviewing your completed tax return before signing and that your signature on any tax return constitutes your representation to the IRS that the return is true, accurate, and complete.
5.2 Preparer Responsibility Legacy Financial Haven prepares your tax return based on the information you provide. Our responsibility is limited to the accurate preparation of your return based on the documents and information provided to us. We are not responsible for errors resulting from incomplete or inaccurate information provided by you.
5.3 Client Review and Approval Before any tax return is filed with the IRS or state tax authority you will be provided with a copy of your completed return for review and approval. You must review your return carefully and notify Legacy Financial Haven of any errors or discrepancies before approving. Once you approve your return and it is filed no changes can be made without filing an amended return which may be subject to additional fees.
5.4 Filing Deadlines Legacy Financial Haven will make every effort to prepare and file your return before the applicable IRS deadline. However we cannot guarantee timely filing if you fail to provide required documents by the document submission deadline, if you delay approving your completed return, or if circumstances outside our control such as IRS system outages affect filing. Legacy Financial Haven is not responsible for late filing penalties or interest resulting from a client's failure to meet our document submission deadlines or to timely approve their completed return.
5.5 Extension Requests If a tax return cannot be completed before the IRS filing deadline Legacy Financial Haven may file an extension on your behalf. An extension extends the time to file your return but does not extend the time to pay any taxes owed. You are responsible for any taxes, penalties, or interest resulting from late payment of taxes owed even when an extension has been filed. Extension filing may be subject to an additional fee.
5.6 Electronic Filing Legacy Financial Haven files tax returns electronically wherever possible. Electronic filing is faster, more secure, and produces faster refunds than paper filing. If your return cannot be filed electronically for any reason we will notify you and discuss alternative filing options.
5.7 Tax Refunds Tax refunds are issued by the IRS and state tax authorities directly to the taxpayer. Legacy Financial Haven does not receive, hold, or process tax refunds on behalf of clients. Refund timing is determined by the IRS and is outside our control. Current IRS refund timing estimates are typically 21 days for electronically filed returns. Legacy Financial Haven is not responsible for delays in IRS refund processing.
5.8 Prior Year Returns Legacy Financial Haven can prepare prior year tax returns for clients who are behind on their filing obligations. Prior year returns are subject to an additional fee of $175.00 per year. We strongly encourage clients with unfiled prior year returns to address their filing obligations promptly as the IRS may assess additional penalties and interest for unfiled returns over time.
5.9 Amended Returns If an error is discovered in a return prepared by Legacy Financial Haven we will prepare a corrected amended return at no additional charge. If an amended return is requested by the client for reasons other than a Legacy Financial Haven error the standard amendment fee of $200.00 applies.
SECTION 6 — ITIN SERVICES TERMS
6.1 ITIN Eligibility Individual Taxpayer Identification Numbers are issued by the IRS to individuals who are not eligible for a Social Security Number and have a federal tax reporting requirement. Legacy Financial Haven will conduct an initial eligibility assessment during your ITIN consultation. We do not guarantee ITIN approval as final approval is at the sole discretion of the IRS.
6.2 Required Documentation ITIN applications require specific documentation as required by the IRS including but not limited to a valid foreign passport or two alternative identification documents and proof of foreign status. The specific documentation required depends on your individual circumstances and the basis for your ITIN application. Legacy Financial Haven will advise you on the required documentation for your specific situation during your consultation.
6.3 Processing Time ITIN applications are submitted directly to the IRS and are subject to IRS processing times which typically range from 6 to 11 weeks. Legacy Financial Haven has no control over IRS processing times and is not responsible for delays caused by the IRS. We will notify you promptly upon receiving your ITIN from the IRS.
6.4 ITIN Renewals ITINs that have not been used on a federal tax return for three consecutive years or that were issued before 2013 may expire and require renewal. Legacy Financial Haven can assist with ITIN renewals for a fee of $200.00. We recommend renewing your ITIN before tax season to avoid filing delays.
6.5 ITIN Confidentiality Your ITIN is sensitive personal identification information. Legacy Financial Haven stores all ITIN numbers in encrypted format in our secure systems and will only share your ITIN with the IRS and other authorized parties as necessary to provide our services. Your ITIN will never be displayed in full in your client portal — only the last four digits will be shown for identification purposes.
SECTION 7 — CONFIDENTIALITY AND DATA SECURITY
7.1 Strict Confidentiality All client information provided to Legacy Financial Haven including personal identification information, Social Security Numbers, tax returns, financial records, and ITIN numbers is strictly confidential. Legacy Financial Haven will not share, sell, disclose, or distribute any client information to any third party without the express written consent of the client except as required by law, IRS regulations, or court order.
7.2 IRS Requirements Legacy Financial Haven is required by law to maintain certain client records and may be required to disclose information to the IRS or other tax authorities in response to lawful requests, audits, or legal proceedings. We will notify you of any such request to the extent permitted by law.
7.3 Data Security Legacy Financial Haven uses industry-standard security measures to protect all client data stored in our systems including encryption of all sensitive personal information such as Social Security Numbers, EIN numbers, ITIN numbers, and financial data. Your tax documents are stored in our secure encrypted client portal and are accessible only by you and authorized Legacy Financial Haven staff.
7.4 Privacy Policy The collection, use, and storage of personal information provided to Legacy Financial Haven is governed by our Privacy Policy which is incorporated into these Terms and Conditions by reference. Our Privacy Policy is available at legacyfinancialhaven.com/privacy-policy.
7.5 SSN and EIN Display For security purposes Social Security Numbers and Employer Identification Numbers stored in your client portal are never displayed in full. Only the last four digits are displayed for identification purposes. Full SSN and EIN information is stored in encrypted format and accessed only by authorized staff for the purpose of preparing and filing your tax return.
SECTION 8 — CLIENT TAX PORTAL TERMS
8.1 Portal Access The Legacy Financial Haven client tax portal is provided as a secure platform for clients to upload tax documents, track return status, view and download completed returns, manage ITIN applications, and communicate securely with our team. Portal access is subject to these Terms and Conditions.
8.2 Annual Access New clients receive one full year of complimentary portal access upon creating their account. Portal access is automatically renewed for an additional year each time you file your taxes with Legacy Financial Haven. As long as you continue to file with Legacy Financial Haven each year your portal access never expires and you always have access to your current and prior year returns.
8.3 Access Expiration If you do not file with Legacy Financial Haven for a full year your portal access will expire at the end of your current access year. You will receive reminder notifications 30 days and 15 days before your access expires. Upon expiration your account will be locked but all your tax records and documents will be preserved indefinitely. Your access can be restored at any time by booking a new tax appointment with Legacy Financial Haven.
8.4 Permanent Free Access The following clients receive permanent complimentary portal access that never expires: clients who have filed with Legacy Financial Haven for five or more consecutive years and any client designated as VIP by Legacy Financial Haven at our discretion.
8.5 Document Retention Legacy Financial Haven retains copies of all tax returns prepared by our office and all documents submitted through your client portal in accordance with applicable IRS record retention requirements. We recommend that you also retain copies of all tax returns and supporting documents for a minimum of seven years.
8.6 Two-Factor Authentication For the protection of your sensitive tax information two-factor authentication is required for all Legacy Financial Haven client portal accounts. You will be required to verify your identity through a code sent to your registered phone number or email address each time you log in. Additional identity verification may be required before downloading completed tax returns or viewing full account details.
8.7 Account Security You are responsible for maintaining the confidentiality of your portal login credentials and for all activity that occurs under your account. Legacy Financial Haven is not responsible for unauthorized access resulting from your failure to safeguard your login information. Notify us immediately at jWilliamson@legacyfinancialhaven.com if you believe your account has been compromised.
SECTION 9 — IRS CIRCULAR 230 DISCLOSURE
Pursuant to IRS Circular 230 any tax advice contained in any communication from Legacy Financial Haven is not intended or written to be used, and cannot be used, for the purpose of avoiding penalties that may be imposed under the Internal Revenue Code, or for promoting, marketing, or recommending to another party any transaction or tax-related matter addressed herein. This disclosure is required by the IRS and is standard for all tax preparation professionals.
SECTION 10 — LIMITATION OF LIABILITY
10.1 Scope of Responsibility Legacy Financial Haven's responsibility is limited to the accurate preparation and timely filing of your tax return based on the complete and accurate information you provide to us. We are not responsible for tax liabilities, penalties, interest, audits, or other consequences resulting from information you provided that was inaccurate, incomplete, or false.
10.2 IRS Determinations Final determination of tax liability, refund amounts, ITIN approvals, and all other matters within the jurisdiction of the IRS or state tax authorities rests solely with those authorities. Legacy Financial Haven cannot guarantee any specific outcome with respect to your tax return, refund, or ITIN application.
10.3 Limitation of Damages To the maximum extent permitted by applicable law Legacy Financial Haven's total liability to any client for any claim arising out of or related to our services shall not exceed the amount paid by the client for the specific service giving rise to the claim. Legacy Financial Haven shall not be liable for any indirect, incidental, consequential, special, or punitive damages arising out of or related to our services regardless of the cause of action.
10.4 Third Party Services Legacy Financial Haven is not responsible for the performance, accuracy, or availability of third-party services including CPAcharge payment processing, IRS e-filing systems, or any other third-party platform used in connection with our services.
10.5 Force Majeure Legacy Financial Haven is not liable for any failure or delay in performing services due to circumstances beyond our reasonable control including but not limited to IRS system outages, natural disasters, pandemics, government orders, or other force majeure events. In the event of an IRS-declared disaster extension we will notify affected clients promptly.
SECTION 11 — INDEMNIFICATION
You agree to indemnify, defend, and hold harmless Legacy Financial Haven, its owner, employees, agents, and representatives from and against any claims, damages, losses, liabilities, costs, and expenses including reasonable attorneys' fees arising out of or related to your use of our services, your provision of inaccurate or fraudulent information, your violation of these Terms and Conditions, or your violation of any applicable law or regulation including tax laws.
SECTION 12 — INTELLECTUAL PROPERTY
All content on the Legacy Financial Haven website including text, graphics, logos, images, service descriptions, and other materials is the property of Legacy Financial Haven and is protected by applicable copyright, trademark, and intellectual property laws. You may not copy, reproduce, distribute, or create derivative works from any Legacy Financial Haven content without our express written permission.
SECTION 13 — GOVERNING LAW AND DISPUTE RESOLUTION
13.1 Governing Law These Terms and Conditions are governed by and construed in accordance with the laws of the State of Mississippi without regard to its conflict of law provisions.
13.2 Jurisdiction Any legal action or proceeding arising out of or related to these Terms and Conditions or our services shall be brought exclusively in the state or federal courts located in Madison County or Hinds County Mississippi. You consent to the personal jurisdiction of these courts.
13.3 Dispute Resolution Before initiating any legal action you agree to contact Legacy Financial Haven at jWilliamson@legacyfinancialhaven.com and make a good faith effort to resolve any dispute informally. Legacy Financial Haven will respond to your dispute notice within 10 business days. If the dispute cannot be resolved informally within 30 days either party may pursue legal remedies as provided in these Terms and Conditions.
13.4 Waiver of Jury Trial To the maximum extent permitted by applicable law both parties waive their right to a jury trial for any claim arising out of or related to these Terms and Conditions or our services.
SECTION 14 — GENERAL PROVISIONS
14.1 Entire Agreement These Terms and Conditions together with our Privacy Policy and any executed engagement letters or service agreements constitute the entire agreement between you and Legacy Financial Haven regarding our services and supersede all prior agreements, understandings, and representations.
14.2 Severability If any provision of these Terms and Conditions is found to be unenforceable or invalid by a court of competent jurisdiction that provision shall be modified to the minimum extent necessary to make it enforceable or if modification is not possible shall be severed from these Terms and Conditions. The remaining provisions shall continue in full force and effect.
14.3 Waiver Legacy Financial Haven's failure to enforce any provision of these Terms and Conditions shall not constitute a waiver of our right to enforce that provision in the future.
14.4 Updates to Terms Legacy Financial Haven reserves the right to update or modify these Terms and Conditions at any time. Updated Terms and Conditions will be posted on our website with a new effective date. Your continued use of our services after any update constitutes your acceptance of the revised Terms and Conditions. We recommend reviewing these Terms and Conditions at the start of each tax season.
14.5 Tax Season Notice Legacy Financial Haven operates year-round however our highest volume period is January through April during federal tax season. During this period response times and appointment availability may be affected by high demand. We recommend booking your tax appointment early in January to ensure the fastest processing time and best availability.
